Moving Out? Your End of Tenancy Checklist (And How to Get Your Full Deposit Back)

Moving out of your student accommodation in Leeds can feel like the final chapter of your time at university - whether you’re heading home, travelling, or moving on to your next place. While it’s an exciting time, there are a few important things to tick off before you hand over your keys. Getting this right can make all the difference when it comes to getting your full deposit back.

Before you leave us, there are a couple of key things to remember. You are welcome to move out earlier than your contracted end date if it suits you, but you must let us know in advance. When you do leave, make sure all doors and windows are locked and that you’ve switched off the heating and lights. These simple steps help keep your property safe and avoid any unnecessary issues after you’ve gone.

Returning Your Keys

Returning your keys correctly and on time is essential to avoid extra charges.

All keys must be returned to the office no later than 12 noon on the last day of your tenancy. Most tenancies end on 30/06/2025, 31/07/2025 or 31/08/2025, but if you’re unsure, check with your property consultant. Remember, you cannot stay in the property beyond your tenancy end date.

When returning your keys:

  • Place them in an envelope with your full name inside

  • Only one tenant per household needs to return all keys during the busy summer period

  • Be prepared for queues between 9am and 12 noon, so earlier is always better

  • If posting your keys, send them via recorded delivery and include only your full name (not your address)

Keys returned late will incur a £30 charge per key, and additional lock replacement costs may apply.

Keys should be returned to:25–27 Otley Road, Headingley, Leeds, LS6 3AA

Cleaning & Removing Your Belongings

If you want the best chance of receiving your full deposit back, cleaning is crucial. Planning ahead and working as a household can save you both time and money.

Make sure you:

  • Empty, clean, and defrost the fridge/freezer (then switch it back on)

  • Clean the cooker, hob, and microwave inside and out

  • Clean the washing machine drawer

  • Wipe cupboards, skirting boards, windows, and frames

  • Vacuum carpets and clean all floors

  • Fully clean bathrooms and clear plugholes

  • Replace smoke alarm batteries

  • Replace any light bulbs 

  • Return all furniture to its original position

All rubbish must be properly bagged and placed in the correct bins. Black bins are for general waste, and green bins are for recycling. Incorrect waste disposal may result in collection issues, and any additional removal costs will be passed on.

Don’t forget:

  • Remove all personal belongings and food

  • Parklane Properties does not offer storage or removal services - we are happy to help signpost you to third party companies - contact your Property Consultant if you need help.

  • Any leftover items may result in significant removal charges

If your property has outdoor space, make sure you’ve tidied the space, removed any personal items to leave it how it was when you moved in and ensure any required gardening is completed to avoid extra fees.

Property Condition & Charges

If you’re in a shared house in Leeds, you’re jointly responsible for the condition of the property when you move out.

A few important reminders:

  • Any damage beyond fair wear and tear may be charged

  • Cleaning charges can range from £100 to £500+, depending on property size and condition

These cleaning costs are based on external contractors (Hive Property Services) and are provided as a guide in your welcome pack that you received when you moved in to your student accommodation in Leeds. 

Top Tips to Avoid Deductions

A little preparation goes a long way. Here’s how to protect your deposit:

  • Report any maintenance issues now so they can be fixed before you leave

  • Contact your property consultant or call 0113 230 4949

  • Consider hiring a professional cleaning company if needed - it can be worth it for peace of mind and deposit returns

Utilities & Council Tax

For non-inclusive bills, make sure you:

  • Take photos of your final meter readings

  • Send them to Parklane Properties

  • Provide readings and forwarding addresses to your utility providers

This ensures you’re only billed for what you’ve used.

If you’re a full-time student, you shouldn’t be paying council tax - make sure your exemption is registered with Leeds City Council.

Getting Your Deposit Back

After your tenancy ends, you’ll receive a deposit statement. You’ll then be asked to confirm your bank details so your refund can be processed.
